Digital Forms

How do I share forms with my field team?

Assign SiteSurvey forms to individuals or groups via the web portal. Team members receive a notification and the form appears in their mobile app instantly.

You share forms with field team members by assigning them from the SiteSurvey web portal. Select the form, choose the project or site it relates to, and assign it to one or more team members or a user group. Assigned forms appear immediately in the SiteSurvey mobile app on each assigned device.

Team members receive a push notification when a new form is assigned to them. The form is pre-loaded onto their device along with any reference materials attached to it, so they are ready to work even if they lose connectivity before arriving on site. Managers can set a due date on each assignment and track completion status from the portal.

For organisations managing large field teams across multiple sites, forms can be assigned to groups rather than individuals. Group assignment means that any available team member can pick up and complete the form, which is useful for reactive surveys or when resource availability varies day to day.

The resource management view in SiteSurvey shows which forms each team member has been assigned, their completion status, and any overdue items. This gives operations managers a clear picture of field activity without needing to chase individuals for updates.

  1. 1

    Assign forms in the portal

Select the form, choose the project or site it relates to, and assign it to one or more team members or a user group. Assigned forms appear immediately in the SiteSurvey mobile app on each assigned device.

  2. 2

    Notify and pre-load devices

Team members receive a push notification when a form is assigned, and it is pre-loaded onto their device with any reference materials. Managers can set a due date on each assignment and track completion from the portal.

  3. 3

    Use group assignment

For large field teams across multiple sites, assign forms to groups rather than individuals. Any available team member can then pick up and complete the form.
