What can a packaging condition visual inspection record?

Record receipt time and shipment reference. Before opening or moving the item, film the unopened package from multiple sides and note visible marks. If opening is authorised, preserve the packaging and record how the contents were packed. Video documents appearance and sequence only. It does not prove when damage occurred, contents integrity, carrier responsibility or claim eligibility. Follow the applicable carrier, supplier and insurance terms.

The guided route

Start wide. Then show the detail.

Record receipt time and shipment reference. Before opening or moving the item, film the unopened package from multiple sides and note visible marks. If opening is authorised, preserve the packaging and record how the contents were packed.

01

Shipment reference and scene

Show the package where received and record tracking information securely outside public footage.

Example observation
“A staged carton is shown at a receiving area; tracking identity is fictional.”
Scripted example, not a real finding.
02

Unopened exterior

Show top, sides and corners before cutting tape or moving contents.

Example observation
“The illustrative carton exterior and a corner are visible.”
Scripted example, not a real finding.
03

Visible mark in context

Film a suspect crease or puncture from wide view to close-up without assigning its cause.

Example observation
“A visibly crushed corner is illustrated on the staged carton; timing and cause are unknown.”
Scripted example, not a real finding.
04

Packing material after opening

If authorised, show internal cushioning and item placement before rearranging. Record anything concealed and preserve all materials.

Example observation
“The staged open box shows paper cushioning; the item is not visible, and its condition is unknown.”
Scripted example, not a real finding.

How to use the record

Make the visual evidence useful.

Identify the visit

Record the asset or site, visit stage, date and inspector. Keep each clip attached to its point and note anything inaccessible.

Describe, then escalate

Say what the camera shows and where it is. Record the next action without guessing the cause or declaring a specialist result from video.

Inspection scope

Video documents appearance and sequence only. It does not prove when damage occurred, contents integrity, carrier responsibility or claim eligibility. Follow the applicable carrier, supplier and insurance terms.

Questions, answered

Packaging condition visual inspection FAQs

Should the carton be filmed before opening?

Yes. A pre-opening exterior view helps preserve context for later close-ups and any required still photos.

Does video prove the carrier caused damage?

No. It shows visible condition at a stated moment, not the cause, timing or responsible party.

Do carriers accept video instead of photographs?

Requirements vary. UPS guidance specifies particular still photos, so submit those when required and treat video as additional context.

What should happen to damaged packaging?

Preserve it and follow the applicable carrier or supplier instructions while the issue is reviewed.
