Understand what prefill does
A prefilled form opens with answers already taken from the project record, so the field team confirms details instead of retyping them.
- 02
Choose a value source
Fields can fill from the project name, customer, sales order, account or project manager, current user, customer contact name, email or phone, site, space, address, product name, manufacturer, model or serial number, ticket title or booking date.
- 03
Feed choices from project data
Dropdown, radio and checkbox lists can be populated by products, spaces, sites, customer contacts, the project team or team members by role—managers, engineers or contractors.
- 04
Know when it fills
Prefill runs when the form is opened, using the project, space and product the form is assigned to. Any prefilled answer can still be edited before submission.
- 05
Test with live preview
Use the live fill preview's mock data to check which fields populate before assigning the form.
Good to know
- ✓Prefill works best on forms assigned to spaces or products, where the context is specific.
- ✓Use role-based choice sources for handover fields such as the attending engineer or approving manager.
