Meter reading form

A dated meter reading record with photos. Record why the readings are being taken, such as a tenant moving in or out. Add each meter: type, scan the serial number, the MPAN or MPRN, the reading and any second-rate reading, whether it is smart, and a photo of the display. Record who the readings were given to, and get the tenant's or occupier's signature. Every question is listed below, and you can fill the live form in on this page.

When should meter readings be taken?

Citizens Advice says to read the meters on the day you move in or out and give the readings to the supplier. When moving out, keep a note of the readings and the dates you took them, in case you do not agree with the final bill. The same record works when a property becomes empty, or at check-in and check-out, and a dated photo of each display backs up the reading.

Every question in the meter reading form template

A meter reading record with photos: reason, each gas, electricity, water or heat meter with serial scan, reference numbers, readings and smart status, who was told, and signatures. 3 sections and 29 questions. Follow-up questions and guidance appear only when an answer calls for them, so the person on site never sees the ones that do not apply.

Make it your own: every question is editable

This is a starting point, not a fixed form. Once it is in your SiteSurvey account you can reword any question, add or remove questions, sections and answer options, and add your own logo, so it fits the way your team works and the jobs you do.

Details you only enter once

Add this form to a project in SiteSurvey and it fills in what the project already knows, so nobody on site retypes it and every form on the job uses the same names. Anything filled in can still be changed.

Meter reading form FAQs

How do I read an electricity meter?

Citizens Advice: on a digital meter, write down the first 5 numbers from left to right and ignore any red numbers. On a dial meter, read the first 5 dials and, if a pointer is between two numbers, write down the lower one.

What if the meter has two rates?

A two-rate meter shows two readings, usually labelled low or night and normal or day, and Citizens Advice says to give both to the supplier. The form has a box for the second reading on electricity meters.

What about smart meters?

Smart meters normally send readings automatically. Citizens Advice suggests checking the meter is working in smart mode before you move; if it is not, take a final reading and give it to the supplier.

Can I scan the meter serial?

Yes. Scan the meter's serial number on the SiteSurvey app so the reading is tied to the right meter.

Does the tenant sign?

The tenant or occupier can sign the record to agree the readings, and the form records who the readings were given to.

Who uses this?

Letting agents, landlords, inventory clerks, housing associations and facilities teams.
