Washroom cleaning checklist

A cleaning log for a washroom or toilet block. Add each check through the day with the time and who cleaned, tick the toilets, sinks, mirrors, floor, bins and consumables, and record any issue with photos and who was told. The form counts the checks with an issue, and a supervisor signs off the standard. Use it on the phone, or put the shared form link on the door as a QR code. Every question is listed below, and you can fill the live form in on this page.

What should be on a toilet cleaning checklist?

A toilet cleaning checklist should record the time of each check and who did it, then the toilets and urinals, sinks and taps, mirrors, floor, general and sanitary bins, and whether toilet paper, soap and hand towels were restocked, with any issue reported. The Workplace (Health, Safety and Welfare) Regulations 1992 require toilets and washing facilities to be kept clean and orderly, with soap and a means of drying hands.

Last updated . Facts checked by the SiteSurvey team on 17 October 2026 against regulation 20 of the Workplace (Health, Safety and Welfare) Regulations 1992 (sanitary conveniences) and regulation 21 of the Workplace (Health, Safety and Welfare) Regulations 1992 (washing facilities).

Every question in the washroom cleaning template

A washroom and toilet cleaning log: each check with time, who cleaned, tasks done, consumables restocked, issues and photos, and a supervisor check. 3 sections and 19 questions. Follow-up questions and guidance appear only when an answer calls for them, so the person on site never sees the ones that do not apply.

Make it your own: every question is editable

This is a starting point, not a fixed form. Once it is in your SiteSurvey account you can reword any question, add or remove questions, sections and answer options, and add your own logo, so it fits the way your team works and the jobs you do.

Details you only enter once

Add this form to a project in SiteSurvey and it fills in what the project already knows, so nobody on site retypes it and every form on the job uses the same names. Anything filled in can still be changed.

Washroom cleaning FAQs

What does the law say about workplace toilets?

Regulation 20 of the Workplace (Health, Safety and Welfare) Regulations 1992 requires toilets, and the rooms they are in, to be adequately ventilated and lit and kept clean and orderly. Regulation 21 requires washing facilities with clean hot and cold, or warm, water, soap or another way to clean, and towels or another way to dry hands, also kept clean and orderly.

How often should washrooms be checked?

The regulations do not set a frequency, so it depends on use. Busy public toilets may need checking every hour or two, an office once or twice a day. The form records the planned frequency and each check.

Can I use a QR code on the door?

Yes. Share the form as a link and put it on the washroom door as a QR code, so cleaners open the form and add their check on the phone.

What if there is a problem?

Record the issue, who was told and a photo. The form counts the checks with issues so the supervisor sees patterns, such as bins overflowing at lunchtime.

Who signs it off?

A supervisor rates the standard, adds notes and signs at the end of the day.

Who uses this?

Cleaning contractors, leisure centres, schools, care homes, hospitality and facilities teams.
